The Council has recently reviewed its records and information management requirements and created a high-level Information Architecture (IA) for the organisation. Council is now looking to renew the EDRMS, TRIM 7.2, to better align the records system with the Information Architecture.

A key element of the Information Architecture is the use of SharePoint as the sole document repository for the organisation. SharePoint was implemented in 2011 and is currently one of many information repositories within Council. AHC is now looking to minimise the number of repositories in the organisation and has nominated SharePoint as the primary information repository. It is crucial moving forward that all core business systems, including the EDRMS, are able to integrate and store unstructured data (e.g. documents, letters, emails) within SharePoint. Structured data i.e. the line of business data that is accessed and managed within the database, will continue to reside within the relevant business systems.

In addition to the SharePoint integration AHC is seeking a system which limits the amount of records management tasks that non-records staff are required to perform. The types of tasks AHC is seeking to limit includes: the manual transfer of information into a record keeping system, maintenance of a separate EDRMS name & address register, repeated ‘one-off’ decisions around where information should be stored.
